Title / Role: Executive Assistant to CEO
Objective / Summary:
Be an efficient enabler to the CEO for balancing business and administrative priorities. Complete critical aspects of deliverables with a hands-on approach that facilitate the
CEO's ability to effectively lead the company.
Responsibilities:
- Researching and presenting industry expertise; while maintaining reports about the ongoing projects to avoid deadline pressures
- Anticipating and prioritizing any incoming issues or concerns, including those of a sensitive or confidential nature and determining appropriate course of action, referral, or response
- Drafting effective communication mails on behalf of the CEO
- Prioritizing conflicting needs, handling matters expeditiously and proactively
- Managing CEOs calendar, understanding meeting agendas; making meeting notes; providing timely alerts and reminders to ensure that all individual roles / projects meet timelines; and initiatives stay on course
- Maintaining updated appointments schedule, incorporate frequent changes in the same on real-time basis
- Making appointments; being adept and competent at visitor management, with an ability to prioritize effectively
- Travel management - addressing the travel / stay / visa and allied requirements; including related changes and arising exigencies
- Systematically storing all business-related information / data for quick and efficient retrieval in future
- Managing contacts and relationships of industry bodies, membership renewals (both personal and professional)
- Maintaining and updating list of business contacts, including personal information such as birthdays, anniversaries etc. which is helpful in critical relationship management
- Performing miscellaneous tasks as assigned from time to time to support the CEO
Qualifications and skill-sets:
- Bachelors / Master Degree preferably in business management
- 5-7 years of experience working with C-Suite level of executives
- Proficient with Microsoft Office with accurate schedule management
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Express high degree of professionalism in dealing with diverse groups of people
- Advanced written and verbal communication skills
- Demonstrated proactive approach to problem-solving with pragmatic decision-making capability
- Emotional maturity; highly resourceful team-player, with the ability to also be extremely effective independently
- Capable to handle confidential information with discretion, be adaptable to various competing demands
- Forward looking thinker, who actively seeks opportunities and proposes solutions proactively; basically has an attitude to switch gears at a moments notice
