Roles and Responsibilities
- Manage and maintain the MDs diary
- Good written and spoken communication skills
- Pro-active follow-ups of the action plan discussed in the meetings.
- Confirming appointments & meetings.
- Screening of calls & emails.
- Preparing reports & presentations as per instructions.
- Responding to emails. Keeping record of all mailers and ensuring timely response. Maintaining all circulars, social and official invitations and responding independently wherever required Drafting letters and emails.
- Arranging local and international travel booking, web check-in, hotel bookings, arranging pick up and drop, creating travel itineraries, preparing expense statement for reimbursement.
- Visa processing.
- Keeping a track of all bills and ensuring timely payments.
- Filter emails, highlight urgent correspondence and print attachments.
- Conduct weekly diary meetings with the MD to discuss upcoming engagements, invitations and other requests.
- Central point of reference for internal and external queries, ensuring that messages are recorded and reported in a timely manner. Co-ordination with other depts
- Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the MD match his requirements.
- Smartness in travel bookings. Use of portals like make my trip, trip advisor etc.
- Filter general information, queries, phone calls and invitations to the MD by redirecting or taking forward such contact as appropriate.
- Keep and maintain an accurate record of papers and electronic correspondence on behalf of the MD.
- Prepare correspondence on behalf of the MD, including the drafting of general replies.
- Undertaking personal tasks where appropriate.
- Handling all types of back office work assigned by the office
Desired Candidate Profile
Any Graduate
Good Communication, Good Knowledge in Excel, Word, PPT, Email, Internet Browsing, Travel Bookings, Visa etc.
Male candidates mostly from Western Suburbs.
